Summer Employment

Note: Be sure to visit our Human resources web site for up-to-date information about summer hiring.

All requests for part-time summer employment must be justified in writing and approved in advance by the appropriate division Vice President or Dean. To begin the process, please complete the 2007 Departmental Part-Time Summer Help Request Form.  In addition, the following summer hiring policies continue to apply:

  • Individuals less than 16 years of age cannot be hired.  A parental consent form must be completed for anyone under the age of 18.  Anyone who might work with hazardous equipment or chemicals must be at least 18 years of age.

  • A relative of a department member cannot be hired to work in the same department.

  • The 2007 summer wage rate is $7.25/hour for new employees and $7.75/hour for employees returning to work in the same department.  Any exceptions to these hourly rates must be pre-approved by the Vice President for Finance and Administrative Services.  If a pay rate other than hourly is required (e.g., a set stipend) such amount must be entered on the 2007 Part-Time Summer Help Employee Status Form.

Information on summer hires must be reported to the Office of Human Resources using one of two methods described below.  Paychecks cannot be processed if these procedures are not completed:

  1. Summer hires who have previously worked for the University anytime since January 1, 2006 should be listed on the 2007 Part-Time Summer Help RETURNING Employee Status Form.  Multiple returning hires may be listed on the same form.  The completed form should be submitted to the Office of Human Resources.

  2. For summer hires who have not previously worked for the University, or have not worked since January 1, 2006, you must complete the 2007 Part-Time Summer Help Employee Status Form.  Additionally, each new employee must complete an I-9 Employment Eligibility Form, a W-4 Employee Withholding Allowance Certificate, an Ohio Employee Withholding Exemption Certificate, a confidentiality agreement and a release for a criminal background investigation before they start to work.  The I-9 and tax forms may be completed by the department supervisor or by the Office of Human Resources.  Note that the I-9 requires that specific identification be presented by the new employee before it can be completed.  The forms themselves and instructions on how to complete them can be found on the Office of Human Resources website.  If you are a supervisor and have not yet been trained on the I-9 and tax form process, please contact the Office of Human Resources at x1576.  Please notify the Office of Human Resources immediately if you are hiring any individual that is not a U.S. citizen or a lawful permanent resident.
  3. After forms are completed with all necessary information and signatures, they should be sent to the Office of Human Resources in Rodman Hall for processing.



  4. Pay periods are biweekly.  Timecards (white) are available in the Copy Center.  Departments must follow the same time entry procedures implemented this year.  During the summer departments will enter their summer employee hours on Banner using the summer hire earn code of “REG” instead of “SE”.  Please attach a post-it note indicating total hours to the approved timecards and deliver in an envelope to the payroll timecard box by dates indicated on the student pay schedule.  Do not use brown or staff timecards as these could cause processing delays.
