EMPLOYMENT POLICIES
ELIGIBILITY: To be employed as a student employee in the IM department, an individual must be enrolled as an undergraduate or graduate student at John Carroll University. All work study students are expected to work 8-10 hours per week. All employees must meet all student employee regulations.
PHONE LIST AND EMAIL: All employees will be required to fill out an employee application card upon being hired to work in the IM department. Student employees are responsible for reporting their current name, address, and telephone number to the intramural director any time that a change occurs. It is also important that you check your email daily so that you stay on top of any updates that we have. If you give us a phone extension in your room, you must set up your voicemail so that we can leave you messages in the case that you do not have to work. Cell phone numbers must be given to the office.
DRESS CODE: All officials will be issued an official’s jersey and whistles when they arrive at the event site. Officials must wear shorts, wind pants, or sweat pants and athletic shoes for activities that involve running (flag football, basketball, softball, soccer). Officials and scorekeepers should look neat.
SCHEDULING: Our staff will schedule you when you say that you are available. If your availability changes, it is your responsibility to let us know at least 1 week in advance. You will receive your schedule every week by email. It is your responsibility to check your email every week to see when you are scheduled. If we make a mistake and schedule you when you say that you are not available, we will find you a substitute upon notification to the office. Otherwise it will always be your responsibility.
SUBSTITUTIONS: If you can not work a scheduled game, it is your responsibility to find a suitable replacement. A phone list will be made available to all employees to facilitate this process. Please e-mail the office to report substitutions imsports@jcu.edu
REPORTING AN ABSENCE: In the case that there is no time to find a substitute because of an emergency, an employee must call and talk to the IM director or supervisor on duty at the time. If the Director is not available a message should be left for the director on her mailbox. The director will then review the situation and make a decision on whether the absence is excused or not. If an absence is not reported, employee must meet with intramural director before they can continue to work. Refer to disciplinary policy for sanctions. A letter will be kept on file for any disciplinary action taken.
REPORTING TO WORK: Officials and scorekeepers are expected to report to work 15 minutes prior to game time to help with set-up and prepare for their games. All officials working the first game of the evening should report to the intramural office to help take out equipment 15 minutes before game time.
MANDATORY MEETINGS: There are mandatory meetings and training sessions held throughout thesemester. Dates and times of these meetings will be given in advance. Attendance is expected. If you can not attend you must be excused by the Intramural Director. Students who do not attend or meet with the director will not officiate.
INJURIES AND ILLNESS: Any job related injuries or illness must bereported to the Supervisor so that an immediate sub can be obtained and an injury report form could be filled out.. Employees are not to work while ill. Injuries will be dealt with on an individual basis, based on the individual's ability to perform job-related duties.
PAYROLL PROCEDURE: Officials and scorekeepers should report to the supervisor at the event site, so that the supervisor can write in their time. You should report to the supervisors upon leaving so they can clock you out.
GRIEVANCE PROCEDURES: In any case of misunderstanding or misinterpretation of student employment policies, procedures, or work practices, the following steps should be taken: (1) The aggrieved student employee should make every effort to resolve the problem with his/her immediate supervisor informally. (2) If the aggrieved student employee is dissatisfied with their direct supervisor’s actionsthe student should get in touch with the Director to request further action.
TERMINATION OF EMPLOYMENT: It is very important for employees to take responsibility for their individual actions. Violations of the rules or regulations may be grounds for dismissal.
GROUNDS FOR IMMEDIATE TERMINATION: Extreme Violation of Intramural policies and procedures may result in immediate termination. This means that an individual in violation of the following rules will not be given a warning or a probation notice, but willbe suspended immediately followed by a hearing with probable termination.
- Working while under the influence of alcohol or other non-prescription drugs
- Smoking/Tobacco use while working
- Pilfering of equipment belonging to the IM Department
- Sleeping while on duty
- Consuming alcoholic beverages or non-prescription drugs while on duty
- Falsification of payroll
- Physical and or verbal abuse of others
- Insubordination
GROUNDS FOR DISCIPLINARY ACTION:
- Failure to perform duties as stated in position description
- Tardiness
- Failure to report for work when scheduled
- Leaving the job without authorization
- Allowing unauthorized or ineligible people to participate in intramurals
- Unprofessional appearance or conduct
- Excessive socializing
- Any other violation of policy or guidelines set up by IM Director
DISCIPLINARY PROCEDURE:
- Verbal Warning: Issued by supervisor or intramural director for any minor violation of IM policies, including tardies. A written counseling form will be given to you to sign so that you know that you have been given a verbal warning.
- Written Warning Letter: Issued for any violation of policy after a person has received a verbal warning.
- Meeting with Intramural Director: Any violations after a letter of warning will result in a meeting with Intramural Director to discuss the problem and take further action.
- Probation: Issued for any serious violation of IM policies, any violation after a letter of warning is given, or no phone call with an unexcused absence. IM Director will decide the length of suspension.
- Termination: See grounds for termination above. Also, issued for repeated offenses after a suspension.
REHIRE POLICY: Student employees are not automatically rehired the second or third year. All employees will be evaluated for rehire.
PARTICIPATION: Employees will be allowed to participate in Intramurals. However, working comes first. If an employee has a game when they are scheduled to work they must find a replacement or work. Also, employees who do participate should remember that they are still employees of the department and are to act as so. Unsportsmanlike conduct coming from our employees sets a bad example and can result in termination.
GENERAL RESPONSIBILITIES AND CONDUCT WHILE ON DUTY:
- Arrive 15 minutes early to set-up field/court
- The supervisor on duty will assign you to a game. If a game is forfeited, the supervisor on duty may dismiss you from duty. However, you are not to dismiss yourself. The supervisors will make those decisions.
- Make sure fields/courts are cleared of all hazards
- Communicate with other officials and scorekeepers and players.
- Conduct a pre-game meeting with captain’s discussing ground rules
- Stay in control of game
- Maintain positive attitude and customer service
- Be professional. Do not talk to friends on the team or talk to players about opposing players
- Conflict Management
- In the case of an ejection, protest, or an injury notify the supervisor immediately so they can document the situation and get help if necessary. Also, if there is anything that you think needs further attention, have supervisor note it on their report
- Officials are to clean up game area after the last game of the night
INCENTIVES PROGRAM:
These programs are offered to encourage and reward the accomplishments and good performance of student workers.
Most Valuable Official, Most Valuable Scorekeeper, Most Improved awards will be given for each major sport. The IM supervisors and Director will vote on an employee of the month. The criteria for this award is 1) Perfect attendance during the month, 2) no tardiness in the month, 3) extraordinary service, 4) great performance, and 5) a great attitude. Winners of this award will receive their name and picture on our bulletin board and a gift.
Employee Appreciation Day- This is a day to honor the employees working in the recreation department. We will have a social with free food, activities, and fun in the recreation center.
