ROOM SELECTION PROCESS

Intention Card

You will receive an Intention Card at your first community meeting in January. On campus students return the completed Intention card to their RA.  If you are completing the Intention card indicating you plan to live on campus next year you will be allowed to access the on line housing selection process after Friday, February 1, 2008.   If you currently live off-campus, you may pick up the Intention card in the Office of Residence Life.  You will receive an email confirming your intention.  If you intend to live on campus your email will include a Lottery Identification Number (LIN).  

Continuing Student Housing Application

STEP 1: Getting Started: To access the Residence Life area of BannerWeb, you must know your Banner ID and PIN number.  With this information go to www.jcu.edu/BannerWeb to login. Once you have completed your login, select Student Services and Financial Aid, then Residence Life and then Continuing Student Housing.

STEP 2: Complete your housing preferences: You will complete a series of questions in this section that identify preferences on items such as sleep time, study time, musical tastes, and organizational behavior. The questions were developed based on what we know is important to two people who will be learning to live together. In order to provide the best service possible, we ask that students complete this section, and that students be as honest as possible.  Even students that have intended roommates are required to complete their housing preferences.

STEP 3: Complete your housing application:
To complete the housing application you will identify the housing options you are interested in.  You may check all options that apply.  During your housing selection time you will only be able to view available rooms from options you identified interest in on your application. 
If you are interested in Bernet Hall as one of your housing options a separate Bernet Hall housing application is available.  Completed Bernet housing applications must be turned in to the Office if Residence Life by 5:00pm on Thursday, February 21, 2008.  See the Bernet section later in this document for more details.  Your semesters on campus will be identified.  Those students who were living on campus the semester prior to studying abroad or interning should count their semester away as a semester on campus. You need to live on campus at least 60 days during a semester to count it as a semester on campus.  If you have calculated your semesters on campus and feel there is an error please contact Mrs. Perri, Housing Coordinator for Residence Life, at jcureslife@jcu.edu.

Once you have submitted your application, you will receive an email confirming your selections (except for Bernet applications).

The deadline to apply or make changes in the on-line continuing student housing application is Midnight, March 18, 2008.
Any request to apply or to make changes after this deadline will be considered late and you could be placed on a waiting list for housing

Hall and Room Selection Process

STEP 1: Email notification:  After the application deadline you will receive an email notifying you of the date and time you will have access to the on-line hall and room selection.

STEP 2: Accept Housing Contract:  To access the on-line hall and room selection area of BannerWeb, you must know your Banner ID and PIN number.  With this information you will go to www.jcu.edu/BannerWeb to login. Once you have completed your login, select Student Services and Financial Aid, then Residence Life and then Continuing Student Housing.   Choose the Housing Contract option. You will review our housing contract online and accept the terms of agreement.  The majority of students will accept the contract online.  Please review the information prior to accepting the housing contract.  Once the housing contract has been accepted it is binding for the academic year.  You (and your roommate) must accept the housing contract before you can complete the on-line Hall and Room Selection process.
NOTE: If you are under 18 years of age you need to print and mail the housing contract to the Office of Residence Life. You must sign your contract, select a meal plan, and have a co-signature of either a parent or guardian prior to mailing the contract. The Office of Residence Life will email you after the contract has been received to allow access in order to complete your application process.
NOTE: You can accept your Housing Contract at any time after your Housing Application is complete.  Once the housing contract has been accepted it is binding for the academic year. 

STEP 3: On-line hall and room selection:  If your housing option is a double with a Continuing Student, only one of you must complete the On-line hall and room selection process.  Choose Hall and Room Selection from the Continuing Student Housing menu.  Choose from the housing options you identified on your housing application.  Select a hall to search.  Search for available rooms by floor.  Each floor will also include a link so you can review the floor layout.   Once you have made your selection, click on the “Reserve Room” button.  You will be presented with a housing selection confirmation window for you to approve and finalize your selection.   Once you have approved the selection, your room hall and room reservation will be complete.

STEP 4: Confirming your assignment: You will receive an email confirming your hall and room selection. You may then review more detailed information about your hall, room, and roommate name and contact information using the “Roommate Assignment Option” within BannerWeb.

Assigning Selection Times

All those that apply will be grouped by the number of semesters lived on campus. The sum of semesters lived on campus for each roommate pair will be averaged. This procedure will be slightly altered for those applying to live in Bernet.  A student may receive multiple selection times.  This may occur if on the housing application you identified a housing option to live alone as well as one of the double housing options with a roommate. 

Example 1:  You and your roommate apply for a double.   You both also selected the Buy-out option.  You have 4 semesters on campus.  Your roommate has 6 semesters on campus.   You will receive a selection time for your Buy-out option based on your 4 semesters on campus.   Your roommate will receive a selection time for their Buy-out option based on their 6 semesters on campus.   You and your roommate will receive an additional selection time for your Double with Roommate option based on your average of 5 semesters on campus.   Your roommate (with 6 semesters on campus) will have an opportunity to view and select a Buy-out first, if one is available.  If your roommate approved and finalized their Buy-out selection at this point, your options would be Buy-out or Double without a Roommate (based on your Buy-out selection time).  If a Buy-out is not available at your selection time, the next step would be to secure a roommate.   Please review the “you do not have a roommate for next year” explanation in the “Situations Considered” section.

Example 2: You apply only for the Single option.  You have 2 semesters on campus.  You will receive a selection time for your Single option based on your 2 semesters on campus.  If a Single is not available at your selection time, the next step would be to secure a roommate.   Please review “you do not have a roommate for next year” explanation in the “Situations Considered” section.

Example 3: You apply for the Substance Free housing option without a roommate.  You have 2 semesters on campus.  You will receive a selection time for your Double without a Roommate option based on your 2 semesters on campus but, unless you are a senior, you will not be able to select a room without a roommate.  Please review the “you do not have a roommate for next year” explanation in the “Situations Considered” section to find a roommate.  Once you have secured a roommate, you will be given a selection time representing the average number of semesters for you and your roommate.   If Substance Free housing rooms are available at the time you are selecting a room, you may only select from Substance Free rooms.   If you decide you do not want to be in Substance Free housing after the application deadline, you will need to contact Mrs. Perri, Housing Coordinator for Residence Life, at jcureslife@jcu.edu to be assigned a new selection time for housing.  

Double with Roommate Chosen

If you are interested in living in a double and you have chosen your roommate, you can select the “Double with continuing student” option in the application.  You will be required to enter your roommate’s Lottery Identification Number (LIN) in the space provided.   Your roommate will need to give you the LIN that was sent to them in their intention confirmation email.  Once you have identified your roommate in the housing application, an email will be sent to your roommate’s JCU e-mail account advising them that they were confirmed as a roommate in your application process.
All students can also review their intention card information and LIN using the “Housing Selection Information” on the Continuing Student Housing option within Banner Web.
You and your roommate are required to accept the housing contract online prior to viewing the Housing Selection process.   Only one of the roommate pair will need to access the Housing Selection process to choose the hall and room.
NOTE: By giving your LIN to your roommate, you are making them your “proxy” for the Housing Selection process.  Your “proxy’s” choice of hall and room for you is binding.
