Interpreting Outputs Produced by the CAPP Degree Audit Process
You have successfully produced a CAPP audit sheet for one or more
of your students. Congratulations!! Now, how do I make sense of the printed
output? To aid in this process, please print
then examine the following document.
Direct any comments you may have to Tish Michalak or John Reebel.

Page Header information
includes the student’s name and Banner ID and the date printed. The request
number shows how many requests for that same student exist in the system at
this time. Release is the version of the
Banner CAPP program that is being used.
The Print Type is whatever was chosen when the report was run. A = advising, D = degree clearance and S =
short. A and D are basically the same,
and S is the same only without the summary sheet (this first page). The Page Header is printed at the top of each
page of the report.
Program: CO - Communications

The program shown is
whatever program was chosen when the report was run. It could be the student’s actual program or
any other one if the submitter wanted to see how the student’s requirements
would look for a different major. The
term is whatever was chosen and controls the limit on courses included in the
report.
The rest of the information
on this page summarizes the status of the student’s compliance with the
requirements of the program as a whole and each individual area. It is in a two column format, wrapping
around. Read down the first column then
continue on to the top of the second column.
Much of this information is found in greater detail on the following
pages. This particular report was run
for a student
who is ready to graduate.

At least one area will be
created for a student’s
major program. In some cases the complexity of the
requirements necessitated
multiple areas, but this
one, Communications, did
not. Note that this area
does have specific General
Requirements, and that its
listing wraps over to the
second column above.
The detail on the various
areas starts on the next physical page.
The same header appears at the top as the first page.

Each area has a basic
division into two sides. The left side
shows the requirements and the right side the courses that
were used to fulfill them,
if any. The M column heading stands for
Met, and indicates with a Y or an N if the requirement
has been met.
Each requirement will be
described with either a Rule name in that column, a specific course or range of
courses in the
Subj and Course Low/High
columns, or an attribute in the Crse Attr column. If a rule is specified and the requirement
has
not yet been met, a
description will be printed. A number
may appear in the Req Crdt column indicating a minimum number of
hours needed for the
requirement, or in the Req Crse indicating a minimum number of courses
needed. The last column of the
requirements is Min Grd,
which may list a minimum grade needed for the requirement.
On the right side, the Term
column lists the term code in which the requirement was met. The Subj, Crse and Title columns
show the subject, course
number and title of the course used to meet the requirement. Note that in many cases more than
one course is needed to
fulfill a requirment and all will be listed.
The Crse Attr column will list any attributes used
in fulfilling the
requirement. An attribute will only be
shown if used. In many cases the rules
have been written so that
checking an attribute was
not necessary because specific courses could be explicitly targeted.
The Crdts column lists the
credit hours of the course. The Grd
column displays the grade that the student earned for the
course. The S column heading stands for Source. A value of H means that the information came
from course history. A T
stands for transfer
credit. An R means the student is
currently registered for that class in a current or future term.
The Actn Code column
indicates if the requirement was satisfied with a waiver or substitution.
At the bottom of each area,
the gpa and total hours earned for that area are printed. Note that if the total hours of all
The areas are summed that
number will probably be greater than the actual number of hours taken due to
course re-use
across areas. Refer to the summary page above for the grand

The very first entry in the
Core curriculum here is a good example of a requirement needing more than one
course to be met.
This area also shows a good
example of the use of attributes. PL 310
was used to meet the 300 level Philosophy requirement.
The attribute V was used
because not all 300 level Philosophy courses are listed as being suitable for
the requirement. No
attribute was needed for the
RL 101 requirement, though, because it referenced a specific course.

Most programs have the same
general areas until this point. The real
differences in requirements occur in the major area(s).
The final rule here in the
Communications major is present in most undergrad programs. The rule has no actual requirements and
is always considered to be
Met. Its purpose is to catch any courses
in the major that the student has failed.
In this manner
they will be included in the
gpa but will not fulfill any requirements, as all the requirements list D (or
whatever grade is
appropriate to the program)
as the minimum grade. Any courses is the
major department that were not used to fulfill other any
requirements in the this
