Setup Outlook Shared Calendaring

Users must have an Exchange Account first.  If one is needed, submit the Account Request Form.

Make sure Outlook is closed or this will not work.

  1. Go to START button, select CONTROL PANEL
  2. Select the Mail icon
  3. Select the Email Accounts button
  4. Select the Add a new email account option
  5. Select Microsoft Exchange Server option
  6. Type EXCHANGE as the server name
  7. Enter your username
  8. Click on Next
  9. Then click on Finish. There is going to be a message that pops up, just click on YES
  10. Then close out of Control Panel
  11. Reopen Outlook and that’s it.

To give someone rights to your calendar:

  1. Open Outlook
  2. From the GO menu, select FOLDER LIST
  3. In the Folders List navigation bar (on right side of screen) right-click on the  Calendar icon that is underneath Mailbox folder
  4. Select Properties
  5. Click on the Permissions tab
  6. Click on the  Add… button and make sure the Show names from the:  list in the top right of the ADD USERS window displays Global Address List
  7. Search for the name of the person(s) you want to give rights to and double-click on their name
  8. Click OK when you finish selecting names
  9. In the Permissions section of the CALENDAR PROPERTIES window, select the type of rights you want them to have to your calendar (generally READ only)
  10. Click OK

Using the shared calendar:

Put your appointments/events on the  Calendar under the Mailbox folder.
