Sharing Calendars or Contacts in Outlook 2007 Setup Outlook Shared Calendaring in 2003

Users must have an Exchange Account first.  If one is needed, submit the Account Request Form.

To set up Exchange Account using Outlook 2007

Sharing Calendars or Contacts in Outlook 2007

  1. From the VIEW menu, select NAVIGATION PANE with the Normal option.
  2. Right-click on the Calendar under Mailbox--First Name MI. Last Name
  3. Select the Share " Calendar"
  4. Check appropriate box
  5. Send / Yes to next

Once the invitation is received, follow these steps:

To view a shared calendar

  1. Right-click on the Mailbox--First Name MI. Last Name line in the NAVIGATION PANE
  2. Select Open Other Folder, then Other User's Folder
  3. A dialogue box will appear.  Enter last name of individual that sent the invitation
  4. Select the appropriate folder type: Calendar or Contacts

To change permissions on a shared calendar

  1. Right-click on Calendar in Mailbox line in the NAVIGATION PANE
  2. Select Change Sharing Permissions
  3. Select option from the Permission Level drop down list. Common choices are Editor (rights to create and edit) or Publishing Editor (all rights)
  4. Click on Apply and then OK.

Setup Outlook Shared Calendaring in 2003

Make sure Outlook is closed or this will not work.

  1. Go to START button, select CONTROL PANEL
  2. Select the Mail icon
  3. Select the Email Accounts button
  4. Select the Add a new email account option
  5. Select Microsoft Exchange Server option
  6. Type EXCHANGE as the server name
  7. Enter your username
  8. Click on Next
  9. Then click on Finish. There is going to be a message that pops up, just click on YES
  10. Then close out of Control Panel
  11. Reopen Outlook and that’s it.

To give someone rights to your calendar:

  1. Open Outlook, go to Mail
  2. On the left navigation pane, right-click on Mailbox--(full name) directly under All Mail Items.
  3. Select Properties for "Mailbox--(full name)"
  4. Click on the Permissions tab
  5. Click on the  Add… button and add the name of the person you want to share your calendar
  6. Select the name of the person(s) you want to give rights to and double-click on their name
  7. Click OK when you finish selecting names
  8. In the Permissions section of the CALENDAR PROPERTIES window, select the type of rights you want them to have to your calendar (generally READ only)
  9. Click Apply and then OK

Using the shared calendar:

Put your appointments/events on the  Calendar under the Mailbox folder.
