Guidance for receiving accommodation letters, coordinating testing, and supporting students with approved accommodations.
Accommodation letters
- Students send letters to instructors through AIM. Review promptly and contact SAS with questions.
- Discuss logistics with the student (e.g., exam timing, materials, location). Keep conversations private and respectful.
- Students are not required to disclose diagnoses; focus on implementing approved accommodations.
Testing accommodations checklist
- Confirm approved adjustments (e.g., 1.5×/2× time, reduced-distraction location, breaks, computer use).
- Provide accessible materials when needed (e.g., accessible PDFs, large print).
- Set extended time in the LMS where applicable.
- Coordinate alternate location per department/testing center procedures.
- For specialized software/equipment (e.g., text-to-speech, speech-to-text), students typically test in the SAS Testing Center.
STC vs. SAS Testing Center
- SAS Testing Center — for students using approved specialized software or equipment.
- Satellite Testing Center (STC) — for other testing accommodations when not provided in class/department.
Scheduling: Students email the Test Proctor at testproctor@jcu.edu at least 3 business days in advance with class, instructor, date/time, and exam length.
If something isn’t working
- Discuss the specific barrier with the student and explore course-consistent solutions.
- Consult SAS at sas@jcu.edu or (216) 397-4967 before making changes to approved accommodations.
- Direct students to the Disability-Related Grievance Policy if concerns remain unresolved.
