Students intending to leave housing must indicate a reason why by filling out the Mid Year Notice of Leaving Housing Form. Filling out this form is not a guarantee of a release from housing. 

Below you will see the various reasons related to the Mid Year Notice of Leaving. If you request to leave housing for a Change in Financial Status, Commute from Home, or Internship, the Office of Residence Life will contact you directly. This form is not a confirmation of a release, but simply acknowledgment of your request. 

Should you be approved, please review the steps for checking out and moving out of Housing. All students leaving housing must have moved all belongings and returned keys by Friday, December 15th, 2023 at 7:00 pm. 

If you plan to Commute from Home and are a current first-year student or sophomore student, you must also fill out the Request for Release Form and corresponding Commuter Confirmation Form before your request will be considered. Commuting from Home Requests are not guaranteed as the 2023-2024 Housing Agreement is in effect for the full academic year. If you are requesting to be released to commute, you will receive additional instructions to make this request via email.

If you selected Change in Financial Circumstance, your request will be reviewed and is not immediately guaranteed as the 2023-2024 Housing Agreement is in effect for the full academic year. If you are requesting to be released based on a change in financial status, you will receive additional instructions to make this request via email.

Prior to finals week, please contact your Resident Assistant to schedule a check out time. Upon completing your finals, please be sure to check out with a Residence Life staff member. You must check out by 7:00 pm on Friday, December 15th, 2023. 

After submitting the form, please plan to contact your Resident Assistant to schedule a check-out time once your finals are completed. International Students may have an extended stay to December 18th at noon by contacting Adam Gilbert at agilbert@jcu.edu. 

You will be prompted to upload a copy of your offer letter for your full-time internship. The Office of Residence Life will contact you with any questions. If you are not planning on living on campus for the spring semester, prior to finals week, please contact your Resident Assistant to schedule a check out time. Upon completing your finals, please be sure to check out with a Residence Life staff member. You must check out by 7:00 pm on Friday, December 15th, 2023. 

If you have been approved for Spring 2024 Study Abroad, prior to finals week, please contact your Resident Assistant to schedule a check out time. Upon completing your finals, please be sure to check out with a Residence Life staff member. You must check out by 7:00 pm on Friday, December 15th, 2023. 

If you selected Transferring, Taking a Leave of Absence, or are Withdrawing from the University, Please be aware that to you must officially withdraw from John Carroll University. The process, including the necessary paperwork, is detailed on the Registrar's Website. For questions or assistance please contact Enrollment and Financial Services at 216-397-6650.

You will be contacted by the Office of Residence Life for additional follow-up. 

Since you are not returning to housing for the 2024 Spring Semester, you must check out of your room by Friday, December 15, 2023, at 7:00 pm. Those residents leaving housing must have moved all belongings out and returned their key(s) no later than Friday, December 15, 2023, at 7:00 pm. Failure to move out of your room and return your key(s) by 7 PM on Friday, December 15, 2023, will result in a $100 fine. If you fail to check out at the end of the semester, your belongings will be packed up by the Residence Life staff and stored for no more than 30 days. If this occurs, additional charges will be assessed. In order to complete the checkout process, you must do the following:

  • Remove all belongings from your room. Bins will be available to check out from the Office of Residence Life. 
  • Before checking out of your room it must be cleaned. Cleaning supplies will be available to check out from the Office of Residence Life. The room must be cleaned and all furniture returned to the room to avoid room change charges.

  • Schedule a time to check out of your room with your RA. All check-outs must be scheduled at least 24hrs in advance of the time you wish to check out or you will be charged a $50 failure to checkout fee. Prior to the RA checking your room, you should have removed all of your belongings and cleaned the room. The RA will then go with you to do the following before collecting your key:

  1. Check your room to ensure that you have removed all of your belongings and cleaned the room. Make sure that all trash has been taken out to the dumpsters and that you have swept up the floor and removed all markings and tape residue from the walls and floor. Cleaning supplies will be available in the Office of Residence Life. (Please see the Cleaning Checklist below for a more complete cleaning checklist.)

  2. Take some photos of your room at the time of checkout for your record.

  3. Return key(s) to the RA. Failure to return the key(s) at this time will result in a $75 fee per key for replacement of the key(s) and lock. Or complete a Rapid Checkout Form and return it to the Office of Residence Life with your key(s) sealed inside at our main office.

All students must vacate the halls by 7 PM on Friday, December 15, 2023 for the Winter Break.

To help you avoid being charged improper checkout fees related to cleaning, please follow the checklist below. Please note that this does not include charges you may be assessed for damages in your room or cleaning charges for trash being left in the hallway or common areas.

  • Make sure all University issued furniture and items that were in your room at the beginning of the year are in your room when you are ready to checkout.

  • Remove all your items from wardrobes/ closets, shelves, drawers, etc.

  • Dust window sills, window blinds (if applicable), shelves, closet space, drawers, and furniture.

  • Wipe excess dirt off your windows.

  • Close and lock all windows; report any problems with your windows to your RA.

  • Remove all of your personal items from walls, ceilings, and doors. Clean off any tape/stickers, sticky residue, pen/pencil markings, scuff marks, etc.

  • Sweep up dirt and debris from floors and remove any sticky residue.

  • Empty trash and remove all belongings—Take all trash to the dumpsters nearest your building.

  • If your roommate is staying in the room, you only need to clean your side of the room and ensure that your room is roommate ready for the Spring semester.

The following cleaning supplies will be available in the Office of Residence Life to assist you in cleaning your room:

  • Broom and dustpan
  • Bucket and mop
  • All-purpose cleaner
  • Glass cleaner
  • Goo-gone and scraper

The following furniture should be present, clean, and ready for a new resident: 

  • Wardrobe
  • Dresser
  • Desk and Chair
  • Bed (Bed does not have to be lofted but must be assembled and all extra parts stored in the room)
